ATTENDANCE TRACKING AND REPORTING

INTRODUCTION:
 
The ACTIVE Attendance Tracking Feature may be used to track the daily attendance of Camp Staff and Camp Volunteers.
  • Staff Attendance Tracking will be utilized for Payroll purposes.
  • High School Volunteer Tracking will be utilized in the award of service hours.
  • Middle School Campers will not be tracked for service hours. They will receive a scheduled email from ACTIVE on Friday afternoon with their service hours certificate attached.
 
At the end of the camp week, the Camp Director will generate Weekly Attendance Reports and related Emails.
  • Activity Leader Attendance Report will be reviewed and submitted online to Laurie O’Beirne (Laurie.mavs@gmail.com) and Matt Figlan (mlfmatt@austin.rr.com).
    • Laurie will generate paychecks based on submitted reporting.
  • High School Volunteer Attendance Report will be reviewed and utilized to generate ACTIVE email with MLF Summer Camp HS Volunteer Hours certificate attached.
  • Middle School Campers will receive ACTIVE email with MLF Summer Camp MS Volunteer Hours certificate attached.          
            
ATTENDANCE TRACKING PROCESS:
  • Go to www.mlfcamp.com/staff---internal.html
  • Click on “Attendance Tracking” button.
  • In the Upper Right-Hand Corner of the screen, select a season from the Dropdown menu:
    • 2019 Staff & Core Team Registration
    • 2019 Volunteer Sign Up (High School Youth & Adults)
  • 2019 Staff & Core Team Process:
    • Click on the Session Name (MLF CAMP STAFF & CORE TEAM).
    • Choose and click on the desired calendar date.
    • Search for participant name in the upper left-hand box on your screen, or find the participant name in the alphabetized list.
    • Indicate if the Activity Leader or Staff Member is absent (X) or present (check mark) for each day.
      • If Activity Leader or Staff Member is aware of future planned absences, these may be recorded ahead of time.
    • Continue tracking attendance throughout week.
  • 2019 High School Volunteer Process:
    • Choose camp session from the provided list.
    • Choose and click on the desired calendar date.
    • Search for participant name in the upper left-hand box on your screen, or find the participant name in the list.
    • Indicate if the High School Volunteer is absent (X) or present (check mark).
      • If High School Volunteer is aware of future planned absences, these may be recorded ahead of time.
    • Continue tracking attendance throughout week.
 
 ATTENDANCE REPORTING PROCESS:
  • Camp Director will generate Attendance Report for Activity Leaders and Camp Staff:
    • Go to Activeworks.active.com and log in.
    • Under the “2019 Staff & Core Team” season name, click on “Reports”.
    • Choose “Participant Attendance Report” from the list. MLF CAMP STAFF & CORE TEAM is already selected.
    • Click on “Run Report”.
      • This report may be customized, though this is not necessary.
    • Verify Report Accuracy.
    • Click on “Share” and select “Email as attachment” form the dropdown menu.
    • In the “Send to” field, enter Laurie O’Beirne (laurie.mavs@gmail.com) and Matt Figlan (mlfmatt@austin.rr.com)
    • Add notes & comments to the email, as needed. For instance, the tracking won’t allow for partial day attendance recording– so you may add notes in the email.
    • Click  “Send”
 
  • Camp Director will generate Attendance Report for High School Volunteers:
    • ​The following applies to high school volunteers who have served the entire camp week. For volunteers who served less than twenty hours, the Camp Director should fill out a service hours form (available on the Staff-Internal page of this site), with the appropriate number of service hours, and give it directly to the high school student.
      • Go to Activeworks.active.com and log in.
      • Under the “2019 Volunteer Sign Up” season name, click on “Reports”.
      • Choose “Participant Attendance Report” from the list.
      • Select a Session from the list (i.e. High School Volunteer – STM Week 1).
      • Click on “Run Report”.
        • This report may be customized, though this is not necessary.
      • From the volunteer list, click on the checkbox on the left-hand side of the screen to select the volunteers who will receive an email with the High School Volunteer Hours certificate attached.
        • If all High School Volunteers will receive the email, click the top box (to the left of “Name”).
      • Click “Email Selected People”
      • From the pop-up window, choose “I would like to select an existing template.”
      • From the dropdown menu, select the “High School Volunteer Service Hours” template.
      • Click “OK”.
      • Enter a brief description of the email (for internal use only – i.e. HS STM Week 1).
      • Click on “Save and Continue”.
      • Review email content for accuracy and click on “Send this email now”.
        • If you want to make a change to the body of the email, click the pencil icon in the lower right-hand corner of the text. Make desired changes.
      • Click “Save and Continue”
      • Click “Send”.
